Executive Administrative Assistant

Hours: Full-Time (37.5 hours), may include evening and weekend hours; not job-share eligible
Salary: Grade 10, $19.42/hour


Provides administrative support to the Director and Deputy Director. Duties include performing confidential work requiring a high level of judgment and discretion. Serves as receptionist for and facilitates access to the Director, including scheduling and coordinating meetings and appointments and maintaining calendar; provides back-up support to the Human Resources Assistant and Administrative reception desk as needed; composes and types miscellaneous correspondence for the Director and Deputy Director; maintains the Director’s office files; assists the Director in preparing for monthly Board meetings, including preparing, assembling, and distributing agendas and meeting packets; contacts Board members to confirm attendance at committee and Board meetings; sets up for and cleans up after Board and committee meetings, including preparing/providing coffee, water, and refreshments; attends Board and committee meetings, records and takes minutes and transcribes meeting minutes; attends administrative team meetings and takes, prepares, and distributes minutes; coordinates posting of approved Board reports to the Library website as directed; assists in preparing responses to public records requests; and other duties as assigned.

Required Knowledge, Skills & Abilities

Ability to work with and maintain confidential information; ability to manage and follow through with multiple projects and tasks simultaneously; ability to maintain effective working relationships with coworkers, Library staff and customers; ability to demonstrate professionalism at all times, including when interacting with persistent and/or dissatisfied customers or employees; ability to prioritize, plan, and organize work effectively to ensure accurate, thorough, and timely completion of assignments; ability to remain calm under pressure; ability to adjust work schedule and remain flexible to meet changing work needs and demands; strong interpersonal skills, including excellent verbal and written communication skills; accurate and proficient typing and proofreading skills; demonstrated PC experience, including proficiency with multiple software packages and ability to learn new software quickly; knowledge of principles and practices of office management; previous customer service experience; minimum of 10 years of experience in an Executive Administrative Assistant role, or Bachelor’s degree from a four-year college or university and 5 years of experience in an Executive Administrative Assistant role, or equivalent combination of education and experience; valid Ohio driver’s license, acceptable driving record, and continuous insurability required.
